JOB OPENING: Program Assistant

The Program Assistant works directly with the Program Director to ensure smooth implementation of all programs, services, events, workshops and day trips. This includes acting as receptionist when/if needed.

Essential Job Duties:  Program Planning, Development & Implementation:
  • Assist Program Director with event planning such as fundraising events, movie nights, special programming, and our bi-monthly LGBTQI Dances (including but not limited to, staffing the event, recruiting volunteers, setting up/breaking down tables and chairs and materials, disseminating flyers, managing registration, obtaining one-day liquor licenses, and other duties as assigned). 
  • Knowing and understanding the full breadth of SASC’s programs and services and being able to talk about/answer questions about programs. 
  • Create/design program fliers and announcements using MS Word and/or MS Publisher, or Google Docs. 
  •  Assist in maintaining program schedule calendar and bulletin board. 
  • Member Services: 
  • Register participants for classes, events, workshops and services as supplemental staff or back-up for the reception desk. This includes entering attendees into program management system and collecting credit card and/or cash payments. 
  • Provide impeccable customer service to everyone who comes into the senior center; maintain professional and compassionate attitude, especially in busy/chaotic situations; introduce potential new members to programs and services, provide referrals if necessary 
  • Knowing and understanding the full breadth of SASC’s programs and services and being able to talk about/answer questions about programs. 
Administrative Assistance:
  • Provide the Program Director and front desk staff/volunteers with administrative support this may include word processing, copying, faxing, taking phone messages, transferring calls, using postage meter, preparing coffee/tea service if needed and attending to any urgent needs for keeping the senior center tidy. 
  • All other duties as assigned
Job Requirements:

The position requires the ability to function successfully within the many expectations of multi-purpose senior center as well as the ability to work independently. Multi-tasking is essential. The position requires a cooperative approach toward other staff, volunteers, and members of the community and the willingness and patience to respond to the needs of seniors. English language proficiency in speaking, writing and listening is required.

Experience/Special Training Required:
  • AA degree and /or equivalent experience in planning activities for older adults, recreation, fitness, social and/or health education programs 
  • Affinity for seniors 
  • Experience in customer relations or retail 
  • Proficient with MS Excel, MS Word, and MS Publisher, Google Drive, 
  • Experience with a customer relations management (CRM) platform 
  • Valid California State driver’s license 
Physical and Environmental Requirements:
  • Ability to work in an indoor climate-controlled office environment including sitting at a desk, walking back and forth between program rooms and some standing. 
  • Ability to lift metal folding chairs, upholstered office chairs, and molded plastic folding tables. Approximate weight 20 pounds. 
  • Ability to walk up and down stairs, walk and stand for long periods of time (up to an hour and a half. 
  • Ability to assist persons with physical limitations while entering and exiting vehicles. 
  • Ability to hear and react to conversations and information given in sometimes noisy, confusing environments both indoors and outdoors. 
Schedule: This is a 20 hour per week position. Some evening and week-end work required to accommodate special events and/or classes and other programs. 

Salary: Starting pay rate is $15.00 per hour.
